equipment hire policy — please read before enquiring
1. Who can hire. Hires are available within the United Kingdom only — equipment must not be taken outside the UK without prior written agreement. Hirers must be 18 or over. We hire to businesses, production companies and verified individuals. First-time hirers must provide photographic ID (passport or driving licence) and a proof of UK address dated within the last three months; business hires need UK-registered company details and a purchase order or authorised contact. First-time hirers consent to identity and credit checks (a soft search where possible, which does not affect your credit score; business hirers may be checked via a business credit agency). First hires may be capped in value while we get to know you. We reserve the right to decline any hire, without giving a reason.
2. Deposits. All hires require a refundable security deposit or card pre-authorisation before handover — paid by card in the hirer's own name (no cash), with a billing address matching the verification documents. High-value portable items — DJ players and mixers, lighting consoles, media servers and similar — attract a higher deposit, and first-time hires of these items may be payment-in-full plus deposit. Deposits are returned promptly after the kit passes return inspection.
3. Your responsibility. Hired equipment remains our property at all times. From handover until return, the hirer is fully responsible for it — including loss, theft and damage, up to full replacement value at current retail pricing. For larger hires we require evidence of your own hired-in equipment insurance before handover. Equipment must never be left unattended in vehicles overnight or visible in parked vehicles at any time.
4. Verification & anti-theft. Serial numbers are recorded and equipment is photographed at handover and return. Items are asset-marked, and selected items carry covert tracking. Collection is in person only, by the named hirer, with ID matching the booking. Thefts are reported to the police and to industry stolen-equipment registers immediately, and serial numbers are flagged with the manufacturers — stolen pro audio and DJ equipment is traceable and very hard to resell legitimately. Collection by couriers or third parties is not accepted unless agreed in writing beforehand; we may decline same-day first-time hires of high-value items, and may ask for venue or production details covering the hire period.
5. Use & care. Equipment must be operated competently, kept dry and within sensible temperature ranges, transported in the flight cases supplied, and never opened, modified or repaired by the hirer. Consumables and cabling are checked on return.
6. Returns. Kit is due back at the agreed date and time. Late returns are charged at the daily rate per day or part-day until returned. Everything is inspected on return; missing accessories, damage beyond fair wear, or kit returned in a state needing more than routine cleaning is chargeable at cost.
7. Damage, loss & theft. Repairs are charged at cost plus any hire revenue lost while the item is unavailable. Lost or stolen items are charged at full new replacement value. Deposits are offset first; the balance is invoiced. In the event of theft you must report it to the police and obtain a crime reference number within 24 hours.
8. Cancellation. Free cancellation up to 7 days before the hire start; 50% of the hire fee within 7 days; 100% within 48 hours. We'll always try to be reasonable where dates move rather than disappear.
9. Payment. Quoted rates are weekly hire, exclusive of VAT, delivery and support unless agreed otherwise. First-time hirers pay in full before handover; account terms are available to returning business clients.
10. Your details. ID and verification details are held securely, used only for the hire, and shared only with credit reference agencies (for the checks described above), or with police and insurers where a hire goes wrong. We don't pass details to anyone else.
